Role:

Our client is looking for an Administrative Assistant to work closely with senior leadership, supporting day-to-day coordination and ensuring smooth operational flow across the business.

This role combines strong executive support with wider administrative responsibilities. It would suit someone who thrives in a fast-paced environment, takes a proactive approach and enjoys bringing structure and organisation to busy teams. The successful candidate will play a key role in supporting senior stakeholders, keeping priorities on track and ensuring the leadership team can operate effectively.



Key Responsibilities:



• Managing executive calendars, meeting scheduling and logistics

• Prioritising tasks and tracking follow-ups for senior stakeholders

• Supporting inbox management, including flagging and organising key communications

• Preparing meeting agendas, taking notes and tracking actions

• Maintaining contact databases and CRM records

• Proofreading internal and external documents

• Coordinating travel, accommodation and logistics for senior leadership

• Managing expenses and supporting financial administration

• Supporting administrative and documentation processes on client projects

• Maintaining shared document systems and corporate records

• Conducting research and preparing documents for review and presentations

• Supporting contract documentation and project administration

• Managing company subscriptions, systems and administrative platforms

• Supporting employee onboarding and internal processes

• Organising team events, co-working days and away days

• Supporting internal planning and team coordination

• Helping manage initiatives related to social and environmental impact



Skills & Experience Needed:



• Previous experience in executive or administrative support

• Strong organisational and time management skills

• Ability to manage multiple stakeholders and priorities

• High level of discretion, professionalism and emotional intelligence

• Strong written and verbal communication skills

• Proactive mindset with the ability to anticipate needs

• Experience using Google Workspace (Docs, Sheets, Slides, Gmail, Calendar) and Slack
